Engagement Templates
Define the shape of every engagement type your firm sells. Configure fields, sliders, chips, and nested templates so discovery captures exactly what each service needs.

Quickstart
Navigate to Settings > Engagement Templates to create or edit the templates that define your service offerings. The paginated list displays each template’s field count, a Slideshow badge (if presentation mode is enabled), the last modified timestamp, and the owner’s avatar. Click the Add (plus) icon in the table header to open the creation dialog. Once named, you are redirected to the template’s workspace.

Engagement Templates are the DNA of your service delivery. They define what information needs to be captured for specific types of work, ensuring consistency across your sales and delivery teams.
Managing templates
Each template is composed of several key elements:

Name: The label shown in the type selector when creating a new engagement.

Description: A brief summary of the template’s purpose and expected use cases.

Fields: A configurable list of data points. Supported types include:
- Text: For descriptions or notes. Can be configured as a single-line input or a multi-line text area.
- Chip: For categorized selections (e.g., Technology stack). Supports single or multi-select with explicit key/value options. You can use the Bulk Add feature to paste a comma-separated or newline-separated list; the system automatically generates valid keys and capitalized labels.
- Slider: For ranges or percentages (e.g., Confidence levels). Requires defined numeric minimum and maximum values; optional defaults must fall within this range. Can be restricted to whole numbers.
- Tag: For selecting options from your organization’s master tag categories. Supports single or multi-select configurations.
- Object: For looking up and selecting records directly from a specific Firestore collection (e.g., Accounts or Contacts). Can be filtered by tags and set to single or multi-select.
- Formula: For dynamically calculated values based on other fields. The formula engine is schema-aware, meaning you can use the
label(field)function to instantly resolve human-readable labels for your template’s chip and tag options. - Boolean: For simple true/false or yes/no toggles. Default values must be explicitly set to true or false.
- Nested Template: For complex, hierarchical data structures.
- Image: For visual references or branding, selectable from predefined options.
- List: For repeatable groups of nested child fields. Includes a Multi-Add dialog for rapidly adding multiple rows (use
Cmd+EnterorCtrl+Enterto quickly “Save and Add Another”). Deleting a list field or an individual populated item prompts a safety confirmation to prevent accidental data loss, while empty rows are removed instantly. - Group: For organizing fields into collapsible, hierarchical sections. You can drag and drop fields into groups or nest them. Newly added fields default to an expanded state for immediate editing.
Note: Any field can be assigned a visibility formula to show or hide conditionally, or checked with Remove from Slideshow to hide it during client presentations while still capturing the data internally. Visibility formulas safely ignore string literals (like
'Active') when evaluating conditions. -
Slideshow: A toggle that enables a presentation-style mode for these fields, ideal for client walkthroughs or internal reviews.
The Template Editor
The engagement template editor uses a split-screen layout (or tabbed view on smaller screens) displaying your fields on one side and a Live Preview on the other. Complex fields like Lists and Groups use a responsive staggered grid layout to optimize space on wider displays.
- Hybrid Toolbar: A floating toolbar above the field list allows you to rapidly add new fields.
- Expand / Collapse All: Use the toggle buttons in the header to instantly expand or collapse all field configuration cards. The editor automatically preserves your exact expanded or collapsed states across background saves and field additions.
- Drag and Drop: Reorder fields or drop them inside Groups or Lists by dragging the handle on any field card. If you have a large template, hold the dragged field near the top or bottom edge of the screen to automatically scroll the editor.
AI-Driven Configuration
You do not have to build templates manually. Servantium’s AI can generate or modify templates based on natural language descriptions and reference files.
- Open the Engagement Template editor.
- Toggle the Template Details (expand/collapse icon) to reveal the settings.
- Optionally upload an Example Document Link (PDF, DOC, DOCX, or XLSX) to provide real-world context for the AI.
- Click the AI generate button (sparkle icon).
- In the dialog, enter your instructions (e.g., “Create a template for a 6-week UI/UX Audit”). Check Start Fresh if you want to clear any previous AI sessions.
- Click Continue. A persistent progress dialog featuring an interactive workflow graph will display real-time updates as the AI generates the fields, description, and slideshow settings.
Engagement templates are deeply integrated with Data Dictionaries. When you add a field to a template, the system automatically tracks it for cross-engagement reporting and search.
